FROM FIRST IDEA TO SHARED PROGRESS

Add colleagues and bring in external participants through an invitation. Define membership and administration before sharing sensitive resources.
Add files, folders, links and supported applications. Use a structure that makes the next useful action clear to the people joining the space.
Use the shared conversation to clarify decisions and discuss the material in front of the team. Keep relevant communication close to the content it concerns.
Work with supported document tools and shared resources. Validate editing permissions and synchronisation behaviour during the pilot.
Review membership as the project evolves. Decide what needs to be retained, transferred or removed when roles change or the work concludes.
THE DETAILS MAKE THE DIFFERENCE
A name, description and visual context help people recognise the purpose of a CoSpace and distinguish one project from another.
Bring together the people who need to contribute. Workspace administration and individual resource permissions address different parts of access.
Organise uploaded material into a structure that supports the work. Keep references and working documents easy to distinguish.
Bring relevant links and supported applications into the workspace. Resource owners and external providers may retain their own access requirements.
Use messaging and supported call modes to keep discussion within the shared work context rather than creating a separate thread for every task.
The design includes controls for viewing and downloading files. Determine how those permissions apply to each content type during deployment.
A WORKED EXAMPLE
A project lead creates a CoSpace for a design review. The brief, reference material and working document are organised in the same environment. Internal contributors join first, then an external specialist is invited with access appropriate to their role.
The team discusses the brief in the shared conversation. Supported editing tools allow contributors to work on the material while keeping the project context visible. When the review is complete, the project owner checks membership, final resources and handover needs.
